Refund and Cancellation Policy

The International AI Engineering Institute (IAEI) is committed to providing quality educational programmes, professional training and certification opportunities. This Refund and Cancellation Policy explains the terms applicable to programme registrations, cancellations, withdrawals and refund requests made through our website or official registration channels.

1. Scope of This Policy

This policy applies to payments made for:

• Professional certificate programmes.
• Artificial Intelligence and Machine Learning courses.
• AI governance, ethics and policy training programmes.
• Online and instructor-led training sessions.
• Workshops, seminars and educational events.
• Other educational services offered by IAEI.

2. Cancellation by Participants

Participants who wish to cancel their registration or withdraw from a programme must submit a written request to IAEI using the official contact details provided below.

Cancellation requests will be reviewed based on the programme's commencement date, participation status, services already provided and any specific cancellation conditions communicated at the time of enrolment.

Submitting a cancellation request does not automatically guarantee a refund. Refund eligibility will be determined under the applicable programme conditions and relevant laws.

3. Refund Eligibility

Refund requests may be considered in the following circumstances:

• Duplicate Payments: Where a participant has accidentally made multiple payments for the same programme, the duplicate amount will be reviewed for refund.
• Payment Errors: Where an amount has been deducted but the registration or payment has not been successfully processed, the transaction will be investigated and resolved.
• Programme Cancellation by IAEI: If IAEI cancels a programme and does not offer a suitable alternative, affected participants will be eligible for an appropriate refund of the amount paid for the cancelled programme.
• Significant Programme Changes: Where substantial changes are made to the programme that materially affect the agreed offering, participants may be offered an appropriate alternative or refund, as applicable.
• Other Eligible Circumstances: Requests arising from exceptional circumstances will be reviewed individually, subject to applicable law and the programme-specific terms.

4. Non-Refundable Circumstances

Refunds may not ordinarily be available in the following circumstances, subject to applicable consumer protection laws:

• A participant voluntarily withdraws after accessing substantial programme content or attending training sessions.
• A participant fails to attend scheduled sessions without providing prior notice.
• A participant does not complete assignments, assessments or other programme requirements.
• A participant is dissatisfied solely because the programme did not result in a particular employment, promotion or career outcome.
• A participant provides incorrect registration information or fails to meet published eligibility requirements.
• A participant requests cancellation after receiving substantial access to digital learning materials or services, where applicable law permits the relevant restriction.

5. Cancellation or Rescheduling by IAEI

IAEI reserves the right to postpone, reschedule, modify or cancel a programme due to unforeseen circumstances, faculty availability, operational requirements or other reasonable grounds.

In such cases, IAEI will communicate the changes to registered participants through their registered email address or other official communication channels.

Where a programme is cancelled, participants will be informed of the available options, which may include:

• Transfer to a rescheduled batch, subject to mutual agreement.
• Enrolment in an alternative programme, subject to agreement.
• A refund in accordance with the applicable policy and law.

6. Refund Processing

Once a refund request has been approved, the refund will ordinarily be initiated through the original payment method wherever feasible.

Processing timelines may depend on the payment gateway, bank or financial institution involved.

IAEI will make reasonable efforts to initiate approved refunds within 7–14 business days. The actual time taken for the amount to reflect in the participant's account may vary depending on the payment provider.

Any deductions, where legally permissible, will be communicated to the participant before processing the refund.

7. Programme Transfers

Participants wishing to transfer their enrolment to another batch or programme may submit a written request to IAEI.

Transfer requests will be considered based on seat availability, programme schedules, eligibility requirements and the specific conditions applicable to the programme.

Approval of a transfer is subject to confirmation by IAEI. Any applicable fee differences or administrative conditions will be communicated before the transfer is completed.

8. How to Request a Refund or Cancellation

9. Review and Resolution of Requests

All cancellation and refund requests will be reviewed by the concerned IAEI team. Additional information or supporting documentation may be requested where necessary.

IAEI aims to acknowledge refund and cancellation enquiries within 3–5 business days and communicate the outcome following review.

10. Policy Amendments

IAEI reserves the right to update or modify this policy to reflect changes in its programmes, operational procedures or applicable legal requirements.

Any revised policy will be published on the official website with an updated effective date. The applicable terms will be determined with due regard to the participant's registration date, programme-specific commitments and applicable law.
